🎭 Rehearsals at the Aria Campus Buildings
Guidelines for Using Spaces and Equipment
Do you want to organise a rehearsal at the Aria campus buildings?
See below for everything you need to book a space and equipment easily and correctly 👇
✉️ Communication and CCing
Each group appoints a representative who will communicate with the DTS (Department of Theatre Studies) technical equipment officer to book spaces.
👉 All emails must also be CC’d to the course lecturer.
This ensures everyone has a full overview and can help whenever needed.
💬 One Thread – One Request
For each group and each request (e.g. for a rehearsal or equipment use), a single shared email thread is maintained.
This thread includes all messages related to the request, so that:
- tracking is easy,
- coordinators can stay informed,
- confusion is avoided.
👥 Group Details
The first email of every request must include:
- the representative's Registration Number,
- the full names and phone numbers of all members,
- and optionally, the group's name, if there is one.
🕓 Two-Hour Slots – Choosing a Time
Available preparation times are shown in an updated table, where:
- Empty two-hour slots are shown in white,
- Available start times are 9:00, 11:00, 13:00, etc.,
- Each group can book one two-hour slot per week,
- Bookings are made only on working days (09:00–21:00), up until the end of the semester's timetable.
💡 Please note that the building does not have a security guard. It is open only when:
- classes are running, or
- staff are in office A2 (ground floor).
📅 Request Confirmation
Once the group decides on its rehearsal schedule, the message must include:
- Day of the week,
- Two-hour slot (e.g. 11:00–13:00),
- Space (e.g. Room A2), and
- Exact preparation dates.
🧰 Using Equipment
If you need technical equipment:
- The representative sends a request from their institutional email (e.g. name@go.uop.gr).
- The group will receive access to a shared file showing which equipment is available.
🚪 Building Availability
In the 2025 autumn semester, the campus buildings are not available for rehearsals on:
- Wednesdays & Fridays after 18:00, as there are no classes or lecturers in the building at those times.
🙋♀️ Presence After 15:00
If your rehearsal takes place after 15:00, it is advisable to inform a lecturer who is on-site, to ensure smooth operation and departure.
📌 In short:
- Appoint a representative,
- CC emails correctly,
- Choose a two-hour slot from the table,
- Send all details clearly,
- Show responsibility when using the space & equipment.
